Credit Control & Billings

income manager (10 years)
At Excelcare I was recruited to unite a disjointed team consisting of an Invoicing Clerk, Credit Controller (the credit controller was let go before I started) & Payments allocator.

There was also a considerable amount of overdue invoices (c£2 million) to collect.

My first priorities were to learn to current processes and establish where they were going wrong, learn how the major creditors (Local Authorities) dealt with our invoices & to break down the overdue debtors.

I ascertained that the current billing processes were too long winded and were taking longer than the billing periods to produce.

I approached the CEO who agreed to me creating a new billing database with the external software consultant to streamline the processes. This software is still used today.

I also set up meetings with the finance staff and their bosses at the Local Authorities to identify the debts owed, which could be paid immediately and which needed attention. This helped to generate immediate cashflow while the other debts were investigated and eventually paid.

Whilst doing this, I developed a credit control database to make the production of letters and statements quicker to enable the chasing of private clients debts.

In my first 2 years the overdue debtors were reduced from c £2 million to under £100k and this was eventually collected from the council by way of a clause in the statute.

Due to arranging advance payments from a number of major Local Authorities the overall Aged Debtors was in the negative c £500k by the time I started my new position at Excelcare.
